How to Set Up a Toast Integration in the GRUBBRR Portal

Location-Level Configuration
Configuring the Toast Integration Page
To perform the initial POS connection and menu pull, follow these steps:
- Sign in to the Location level
- Select Integration
- Select Toast from the dropdown menu
- On the Toast Integration Page, configure the following settings:
- Under Toast Integration Settings:
- Enter the Location GUID that you obtained from Toast
- Select V3 as the Menu Version we will be using for clients
- This is the "Kiosk Menu" or "Channel Menu" that the client created following our guide
- Select the Menu Name assigned to GRUBBRR from the dropdown menu on this page
- This is obtained from the client
- Under Sync Settings:
- Leave Ignore Display Order unchecked
- Leave Ignore Record Images unchecked
- Set the Menu Sync Timer to 00:02 minutes.
- Note: GRUBBRR receives automatic menu status updates from Toast via webhook. We use the Menu Sync Timer to avoid scenarios where the kiosk might receive multiple updates quickly, potentially causing a slowdown in customer service
- Leave Ignore Menu Webhooks Unchecked, unless there is a severely business-impacting reason to turn this flag on
- Leave Ignore Item Availability Webhooks unchecked, unless there is a severely business-impacting reason to turn this flag on
- Under Toast Integration Settings:
- Select Save Only
- Under Tender Mapping
- Select the Default Tender and Payment Types for the client's location. Tender types are automatically populated after we complete our first menu sync with the Toast POS.
- Select Save & Sync Data Now
Configuring Order Types and Channels
Toast uses a setting called Revenue Centers to differentiate between different sales solutions (i.e., GRUBBRR vs. Online Orders). For the system to process orders properly, we must map these order types and channels in the GRUBBRR Portal. To map order types and channels:
- Select Configure in the left sidebar
- Select General Settings
- On the Common tab, make the following changes to the Order Type table:
- For Dine In:
- Under Third Party Order Type, select Dine in, or the equivalent in the client's POS, from the dropdown menu
- Under Channel, select GRUBBRR RVC, or the equivalent in the client's POS, from the dropdown menu
- If the client uses table tents, enable Kiosk Table Tent as well
- For Takeout:
- Under Third Party Order Type, select Take Out, or the equivalent in the client's POS, from the dropdown menu
- Under Channel, select GRUBBRR RVC, or the equivalent in the client's POS, from the dropdown menu
- Enable the following:
- POS
- Kiosk
- Kiosk Ask Customer Name
- Kiosk Ask Customer Phone
- Kiosk Ask Customer Email
- Scroll to the bottom of the page and select Save
- For Dine In:

Prerequisites
Before beginning the integration process, please confirm that you have all of the following information for the client:
- The Location GUID, obtained from Toast. For more information, see the section below.
- A Menu Name, configured in the Toast Portal that we will be using for integration
- Any Tender Types configured in the Toast Portal that we will be using for the integration
- The client needs to add GRUBBRR as a Selected Partner through the Toast Integrations Portal in order for us to receive their GUID and API information
- From the dashboard, select Integrations
- Select Browse and Purchase Integrations
- Search for GRUBBRR in the left sidebar
- Click on the tile to add GRUBBRR as a Partner
This will prompt Toast to send an email to posaccess@grubbrr.com with the API credentials we'll need to connect the client's POS with the Portal
- The client will need to have created a Kiosk-specific menu in Toast
- Make sure to refer to this as a "Channel Menu" or just a "Kiosk Menu" with the client, as the term "V3" may be confusing for them

GRUBBRR Can import the following from Toast:
- Names for All Menu Items/Categories/Modifiers
- Descriptions for All Menu Items/Categories/Modifiers
- Images for All Menu Items/Categories/Modifiers
- Prices for All Menu Items/Categories/Modifiers
- Any tags that users have created for items in Toast (I.e., "Vegan" or "Spicy")
- Menu Display Order
- Category Mapping for all Menu Items
- Including Sub-Categories
- Item Modifier Group Mapping
- Common Modifier Groups
- Nested Modifiers
- Modifiers which can be added more than once to an item
- Combos Configured in Toast
- Discounts Configured in Toast
- Calorie Counts
- Modifier Codes ("No," "Extra," etc.)
- Store Hours
- Menu Status Updates (via Webhook)
- Item Availability Updates (Via Webhook)
In addition to the imports mentioned above, GRUBBRR's integration with Toast also supports the following Custom Configurations from the GRUBBRR Portal:
- Menu Images
- Menu Display Order
- Category Scheduling
- Item Scheduling
- Upsells
Limitations
At this point, GRUBBRR Does Not Support the following with our Toast Integration:
- Loyalty
- Scheduled Pricing
- Service Charges
- Item Scheduling as an Import
- Category Scheduling as an Import
Attempting to override Item Category Mapping through the GRUBBRR Portal will cause orders to fail. Enabling taxes in the GRUBBRR portal will cause the Kiosk to double-charge taxes on the customer's order. Please do not attempt to alter these settings.
