How to Set up the HMS Host Integration in the GRUBBRR Portal

HMS Host owns many restaurants within airports. At HMS’s request, GRUBBRR did not integrate with their POS devices. Instead, HMS creates middleware for each restaurant location, and GRUBBRR, in turn, can integrate with that piece of middleware that connects us to its associated POS systems.
Creating the menu and middleware for each location takes HMS a few weeks.
Pulling HMS Host Menu
We can pull the menu once HMS creates the associated middleware for a location.
To pull the menu for an HMS location:
- Log in to the GRUBBRR Portal using HMS Host credentials
- Select Integration from the left sidebar menu
- Select HMS Host Middleware Integration from the dropdown
- In the Client ID field, enter 82B4E70D-B2F9-4573-AED2-7264E19B6C81
- In the Catalog URL field, enter https://unify.api.hmshost.com/v2/catalog/
- In the Order URL field, enter https://unify.api.hmshost.com/v2/order/
- In the Diagnostics URL field, enter https://unify.api.hmshost.com/v2/diagnostics/services/status
- In the Client Username field, enter hms.integration@grubbrr.com
- In the Client Password field, enter f!f;5';vWra6=Qa>
- In the OrderPrefix field, enter HMS
- In the Subscription Key field, enter 38967a5d1e254c678006ce1d57ef581c
- In the Default Order Type field, enter 2
- NOTE: In HMS' system, Order Type 1 refers to Dine In orders, and Order Type 2 refers to Take Out. We want to set Take Out as the default order type for HMS clients.
- In the Default Tip ID field, enter 2
- Select the Concessionaire Configuration Type
- Multiple Revenue Center Single Concessionaire: This is for cases where revenue is not being funneled to one restaurant location
- Note: For this configuration, customers can only order from one concessionaire at a time on the kiosk
- Single Revenue Center Multiple Concessionaires: This is for cases where all revenue is collected by kiosks at a central location.
- Multiple Revenue Center Single Concessionaire: This is for cases where revenue is not being funneled to one restaurant location
- Enter Concessionaire Information into the table
- Concessionaire Name,
- Property ID, and
- Revenue Center ID will all be provided by HMS Host
- If the client wants to schedule a full Daily Sync, you can enable this function and assign it a time. This would be in addition to the automatic syncs required by HMS Host (see note below).
- Enable Ignore Display Name
- Use the following Tender IDs in the Tender Mapping table
- Select Save & Sync Data Now
Important Note:
HMS Host Middleware does not offer webhooks for Item 86 status updates; our integration partnership requires GRUBBRR to perform hourly syncs with the HMS system. We perform these syncs every thirty minutes, at :15 and :45 after every hour. After each sync, our system will automatically update to reflect any menu changes we find.
Menu Management
The menu should always be managed on the HMS Host side. GRUBBRR can make cosmetic edits, but these changes should remain relatively minor due to the nature of integrations.
Specifically, we can override display names, orders, and images. If needed, we can create custom categories; however, we need to ensure that our menu accurately reflects the client's POS when doing so.
Troubleshooting
A couple of unique scenarios can occur with the HMS integration.
- Issue: Transactions receiving error messages and being refunded
- This refers to the ‘Uh Oh! We have encountered an error while submitting your order. Your transaction has been refunded. Please proceed to the counter to place your order’ error message.
- When this occurs, we did not receive a success signal from the middleware. This could occur for various reasons, including the middleware or POS being offline.
- Issue: Error message at the start of a transaction
- HMS requested we develop a health check at the beginning of transactions. If the health check fails, an error message to try again later will appear.
- If this occurs, the middleware or POS may be offline.
